Account Information
Your User ID and Password give you access to College Systems.
Students and Applicants
Students and applicants use their ECC User ID and password to access ECC systems and communicate with various departments at ECC. Account access depends on where the person is in the application or enrollment lifecycle.- Applicants who have applied but are not enrolled receive access to Gmail and MS-AD so they can communicate with the college and use required systems during the admissions process. Full Google Workspace access is only assigned when the applicant becomes an enrolled student.
- Current applicants who already have full Google Workspace access will be transitioned to Gmail-only access until they become enrolled students.
- Enrolled students receive full Google Workspace access and MS-AD access to support coursework, college communications, D2L, Self-Service, and other student systems.
- Former enrolled students retain MS-AD access for two years after enrollment ends in order to continue to access Self-Service. One year after enrollment Google access changes from full Google Workspace access to Gmail-only access.
- Account removal occurs after two years if an applicant does not apply again or enroll, or if a former student does not re-enroll. At that point, Google and MS-AD accounts are purged through the account lifecycle process.
Employees
Employees use their ECC User ID and password to access employee systems, including MyElgin , D2L, Self-Service, webmail, the ECC network, and computer login. MS-AD access supports core employee access. Google access is assigned based on employee role and business need.- Faculty employees receive MS-AD and full Google Workspace access as part of the onboarding process. The Teaching/Learning Add-on is available by special request via a Jira ticket.
- Staff employees receive MS-AD access and Gmail accounts. Staff will receive Google Workspace access only when it is needed for their role. For current staff, usage will be reviewed before any Google Workspace access is removed, and affected employees will be contacted before changes are made. For new staff, Google Workspace access should be requested by the supervisor through the onboarding Jira ticket process when the access is needed.
- Former employees will have Google accounts deactivated when employment ends. MS-AD access will be downgraded so former employees can continue to access Self-Service when appropriate for such documents as W-2s. Two years after the ECC employment end date MS-AD account access will be removed.
